How early should we start planning housing?
For multi-day tournaments, 9+ months out gets you the best hotels and rates. Shorter timeline? Reach out anyway — we find rooms on tight turnarounds all the time.
What is a room block — and do we have to fill it?
A room block is a set of rooms a hotel holds for your event at a group rate. We size blocks realistically, negotiate every contract and track pickup week by week, so you are not left covering empty rooms.
Can families book on their own?
Yes. Every event gets a booking page where families choose a hotel at the team rate. Team managers can also hold rooms for the whole roster and share one link.
What happens when plans change?
They always do. Date changes, name swaps, extra nights, cancellations — call or email, and a real person on our team takes care of it.
How will Book Now, Pay Later work?
Flex Pay is a buy now, pay later product by Upgrade that gives you the freedom to purchase what you want now and pay over time with simple monthly payments. Some plans include interest while some are interest-free.
